A little background. . . the department I work for is responsible for
setting meeting appointments between clients and our reps. We are not required to attend the meeting and once the meeting is set it is no longer our responsibility in any way. So the meeting does not need to be on our calendar and in fact is more of a problem as I'll explain in a moment. . .
When a meeting appointment is scheduled in Outlook 97 the meeting is added to the reps calendar and my (the meeting coordinator) calendar as an appointment - with a reminder and showing the time as Busy. This appears to happen even if the coordinator is taken out of the Attendee list prior to sending out the request. That seems a bit odd but I have verified it many
times.
So, if I then open the meeting appointment and attempt to delete the meeting from my calendar (because I am not actually involved in the meeting) the only options are to delete the meeting and send a notification to attendees or just delete the meeting with no notice to other attendees. There does not appear to be a way to just remove the item from the calendar. Does anyone
know a way to do that? It is out of the ordinary for the coordinator to not need to attend so perhaps Outlook does not recognize that as an option.
The reason I cannot just leave the appointment as is - because it shows the time as Busy for me but I'm not really since I do not attend the meeting. If someone needs to schedule something for ME it looks like there are limited slots but that is not actually the case.
I know I can go to each meeting appointment and change the time to Free and uncheck the reminder. Is there an easier way to do this than accessing each appointment every time one is set? I have tried to check under the Send Options but they are not accessible for whatever reason (not enabled, not installed, not an option, etc. . .) and I don't know that there is an option under there
that would resolve this anyway.
